About the role
As the Collection Administrator for Medequip Assistive Technology Ltd, you will work collaboratively with Medequip and the London Borough of Redbridge, as lead of the Barking, Havering, Kingston and Redbridge Community Equipment Services contract.
You will help increase the return of loan equipment that is no longer required by service users. This will support the reuse of recycled equipment, reduce costs and improve the contract’s carbon footprint.
Your day-to-day responsibilities will include, but not be limited to:
- Reporting to the Depot Manager and providing updates on collection activity, performance, risks and opportunities for improvement
- Liaising with contract colleagues, customers, service users, their families and third-party community service groups to maintain accurate records
- Taking a targeted approach to identifying different collection opportunities
- Developing accurate methods for monitoring collections and improving system accuracy
- Prioritising the collection of high-value items and equipment intended for short-term use
- Identifying areas of risk and working with prescribers to reduce these, including through care home audits and the monitoring of loan periods
- Advising and supporting service users and prescribers to ensure the correct collection processes are followed
- Ensuring collections are raised promptly and service performance measures are met
- Using loan equipment reports to identify how long items have been on loan
- Extending the clinical need for low-level equipment where appropriate or consulting with the relevant Occupational Therapist or Prescriber
- Promoting the collection service and signposting collection points through social media and other advertising channels
- Identifying opportunities to improve the TCES system and reviewing these regularly
- Supporting the addition and cross-referencing of information, such as NHS numbers, across contract systems
- Handling service user information sensitively and confidentially
- Developing and maintaining knowledge and expertise within this specialist function
- Taking responsibility for your own professional development
- Following company procedures and policies, including financial regulations, equality and diversity requirements, and customer care and complaints procedures
- Complying with all health and safety procedures and instructions
- Reporting hazards, accidents, damage or defects to the Depot Manager
- Wearing the appropriate personal protective equipment when required
- Undertaking any other reasonable duties required to meet the needs of the business

Qualifications and experience required
- GCSE standard education including Maths and English
- Clinical Administration Level 3 qualification
- Customer service or call centre experience
- Excellent verbal communication and customer service skills
- Ability to communicate effectively with customers from a range of cultural and language backgrounds, ages, health conditions and personal circumstances
- Ability to communicate with patience, sensitivity and dignity
- Ability to demonstrate empathy, patience and remain calm under pressure
- Positive approach to difficult situations
- IT literate and comfortable using IT systems
- Organised and able to follow agreed processes
- Ability to manage your own workload and work without direct supervision
- Smart, professional appearance and polite manner
- Ability to handle personal and sensitive information confidentially
- Experience working within community equipment services
- Experience supporting local authority, healthcare or community service contracts
- Experience monitoring loan equipment, collections or service performance
- Experience liaising with service users, families, prescribers and community organisations
